SGM 12 February: Voting and live streaming

On 10 February 2020 at 18h00 voting on a third constitutional amendment will open by electronic polling on the OD Connect website, by written proxy and at the special general meeting to be held at 18h00 on 12 February 2020 at the Mitre.

Three means of participation at the Special General Meeting are available to you:

If you are registered on the OD Connect website, you may click [here] to cast your vote electronically. Electronic voting will be open from 10 February 2020 at 18h00 and will close on 13 February 2020 at 18h00.

If you are not registered on the OD Connect website, you may click Hereto download a proxy form to appoint another OD or the Chairman to cast your vote for you. Please ensure that your completed proxy form reaches [email protected] before 18h00 on 10 February 2020.

And, of course, you are more than welcome to join us at the Mitre and stay for a light refreshment after the meeting.

For those of you who do not attend the meeting, you may log in to a live stream [here], which will allow you to participate and comment during proceedings. Your comments will be projected on the big screen for all ODs to consider. If you would like to pose a question, please do so, and we will endeavour to address your query.

For those of you who are less tech-savvy, you may put your thoughts in writing. Please send [email protected] mail. The Chair will ensure that your comments are put to the meeting. Or, you may simply ask a fellow OD or your proxy to read out your comment or question.

By way of a reminder, the motion that will be voted upon is framed as follows:

"RESOLVED THAT the Constitution be and is hereby amended such that each of the members of the Committee shall be elected by the members at the Annual General Meeting."

This is a departure from historical practice, where committee members were elected at an AGM for a minimum term of five years. The motion arises out of one of several constitutional enhancements that the Standing Committee put to the Committee, pursuant to the formers' mandate to enhance the governance of the Union.

The practical effect of the motion, if adopted, will be that members of the Committee and ODs who wish to serve on the Committee will be appointed annually, at each AGM. Thereafter, continuing Committee members and new nominees may make themselves available for appointment by the members annually.

The results of the voting will be published by no later on 13 February 2020 at 18h00, after the scrutineers verify the voting results.
